JOB SUMMARY
The EHR Systems Manager provides oversight of EHR Support team and the Electronic Health Record (EHR), Electronic Practice Management (EPM), Electronic Dental Record (EDR) and Patient Portal training program to develop and maintain an effective and timely training program for medical, dental, behavioral health, billing and coding, and operational staff on the electronic health record and practice management systems. Serve as a lead resource in on-going support of staff using these systems. Oversee the implementation of upgrades and ensures a smooth transition for all staff. Maintain relationships with Electronic Health Record vendors including but not limited to application vendor, support vendor and interfaced vendors. Provide ongoing oversight of application configuration and security group configuration to optimize system integrity and performance. Oversee template and application function development to improve application utility especially as it pertains to workflow efficiency, accountable care activities and strategic project and initiatives.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Staff supervision
· Plans, develops and directs EHR support team/resources.
· Hires, professionally develops, motivates, manages and evaluates EHR Support team members
· Monitors and audits workload of EHR Support team
· Performs day-to-day functions of EHR Support team as needed
· Develops a service orientation that drives proactive approach to meeting user needs
Training Plan Development/Implementation
· Develops and maintains a robust training program for new medical, dental, behavioral health, billing and coding, and operational staff on the EHR and practice management systems (including Providers, Nursing, MAs, BHPs, CMs, Medical Records and Dental staff).
· Responsible for directing the creation of a high-quality training and optimization program.
· Assesses staff’s understanding in using the clinical systems, post implementation, and make recommendations as needed, relative to performance, compliance and/or training
· Works directly with members of the leadership to identify training gaps amongst staff and develop actionable plans to address them.
EHR, EPM, EDR and Patient Portal and Additional Module Sustainment
· Develops, oversees and ensures successful implementation of EHR, EPM, EDR and Patient Portal upgrades, enhancements, projects and new functionalities.
· Assists in the evaluation and implementation of new modules, testing new and maintaining existing functionalities.
· Responsible for directing 24 x 7 end user support as needed in collaboration with, Information Technology, Process Improvement Teams and JIRA support.
· Maintains the integrity of the EHR, EPM, EDR and Patient Portal by tracking, monitoring and coordinating change requests and their impact on the longitudinal record
· Manage and maintain EHR, EPM, EDR and Patient Portal security groups
· Responsible for maintaining EHR, EPM, EDR and Patient Portal system and practice level configurations
· Assists in identifying, spreading and sustaining best practice across all sites
· Remains current on advances in the areas of E EHR, EPM, EDR and and Patient Portal
· Participates in industry workgroup forums
Communication/Collaboration
· Works closely with the Executive Team, site leaders, IT, and other technology subject matter experts in the delivery of EHR, EPM, EDR and Patient Portal support
· Builds collaborative relationships with other leaders to facilitate an integrated and collaborative electronic medical record
· Highly involved in supporting and promoting use of the EHR, EPM, EDR and Patient Portal to end users; serves as a role model in supporting electronic documentation of care delivery
· Facilitates discussions of workflows as it relates to the use of the EHR, EPM, EDR and Patient Portal
· Acts as a contact point for external vendors as they pertain to EHR, EPM, EDR and Patient Portal applications
· Maintains effective communication and strong relationships with external vendors
· Requires extensive contact with internal staff in all positions and departments
Process/Quality Improvement
· Researches and develops new workflows to improve staff efficiency
· Collaborates with the leadership team to align training, projects and quality improvement activities in order to assist the organization in execution of the strategic plan
Education and/or Experience:
· Bachelor’s degree or equivalent experience required, Masters preferred.
· Two (2) years of management experience.
· Two (2) years of EHR system/software training/support experience required, EPIC experience strongly preferred.
- Two (2) years experience with vendor management or vendor collaboration.
- EMR Super User strongly preferred
- Epic technical support certification preferred.
- OCHIN certification required at or within six months of position.
- Experience with Microsoft OS and Office applications and ability to demonstrate these skills.
- Support Request Ticketing System
- Internet and Internet Protocol related technologies
- Familiar with various OS diagnostics tools
- Familiar with EPIC ECH
Knowledge, skills and abilities:
- Advanced knowledge of the EHR, EPM, EDR, Patient Portal, File Maintenance, and Template Editor.
- Strong knowledge of data structures, system design, and algorithms.
- Strong knowledge of clinic and patient workflows
- Demonstrated planning and organizational skills.
- Excellent interpersonal, oral, non-verbal and written communication skills.
